American Waste Software
Privacy policy
Last updated
American Waste Software (“we”, “us”) is software that roll-off dumpster companies use to book jobs, send out drivers, keep track of their dumpsters and bill their customers. In this policy, “your hauler” means the dumpster company that uses American Waste Software: the company you rent from, or the company you work for.
This policy explains what information the software keeps, why, who sees it, and the choices you have.
In short
- We keep what your hauler needs to deliver, pick up and bill: names, phone numbers, addresses, photos, weight tickets and invoices.
- Your hauler decides what goes in, and its staff can see it. Customers see only their own account.
- We never sell your information, and we don’t use it for advertising.
- Texts go only to numbers that agreed to get them. Reply STOP to stop.
- When you pay by card on a hauler’s booking page, the card number goes straight to Stripe: we never see it.
- When you book online, the rental agreement you sign is kept with your order, unchanged, and you can download a copy.
1.Your hauler and us
Your hauler decides what goes into American Waste Software and is responsible for it. We run the software and keep the information for your hauler, and we use it only to provide and improve the service. Your hauler’s own privacy policy, if it has one, applies too.
This policy covers the office screens, the driver app, the customer portal, your hauler’s online booking page, and the emails and text messages sent through American Waste Software.
2.What we keep
- Contact details: names, phone numbers and email addresses of customers and their contacts at each job site, and of your hauler’s own staff.
- Job sites: addresses, map points, gate codes and notes about where to put the dumpster.
- Jobs and dumpsters: what was booked and when, which dumpster and truck went, and what happened at the stop.
- Photos and weight tickets: pictures drivers take of dumpsters and job sites, and the dump’s weight tickets.
- Invoices and payments: prices, invoices, payments, credits and what is owed. We never store card numbers: when your hauler takes cards, a card payment company holds them.
- Locations during work: truck positions from your hauler’s truck GPS provider, and the driver’s phone location when they finish a stop, take a photo or clock in or out (only if the phone allows it).
- Sign-in records: login names, when each person last signed in, and wrong-password tries (forgotten after a day). Passwords are stored only in a scrambled form that can’t be read back. Like any website, our servers also see your device’s network (IP) address when you visit.
- Requests, orders and notes: service requests sent from the customer portal, orders placed on your hauler’s online booking page (see Online orders) with the rental agreement signed for each one (see Signing your rental agreement online), and notes your hauler’s office adds.
- Work hours: for your hauler’s staff, clock-in and clock-out times, when your hauler uses the time clock.
3.Why we keep it
- To book, plan and carry out dumpster jobs: deliveries, pickups, swaps and dump runs.
- To know where every dumpster is and how long it has been out.
- To send invoices, record payments and show what is owed.
- To show customers their own dumpsters, requests and invoices in the customer portal.
- To keep proof of the rental agreement and payment terms a customer accepts when booking online.
- To send job updates and notices by email or text, when your hauler turns them on.
- To keep the service safe, stop misuse, fix problems and make the software better.
- To follow the law.
We don’t use your information for advertising, and we never sell it.
4.Who sees it
- Your hauler’s staff. The office sees the customers, jobs, dumpsters and invoices it works with. Drivers see the stops they’re sent to (the address, site notes and who to call), but not prices.
- You, in the customer portal. A customer who signs in sees only their own account: their dumpsters, requests and invoices. Never another customer’s, and never the office’s own notes.
- No other hauler. Each hauler’s records are kept apart, so one hauler never sees another hauler’s customers or jobs.
- Companies that help us run the service, only for that work: the company that hosts our servers and backups, and a map and address-lookup service. When your hauler turns them on, also email and text-message providers, a card payment company, accounting software (copies of customers, invoices and payments), electronic signatures, and a service that reads weight-ticket photos. They may use the information only to do that work.
- Our own team, only when needed to run, support, protect or fix the service.
- When the law requires it, such as a valid court order, or when needed to protect someone’s safety.
- If the business changes hands, the records go to the new owner, and this policy still applies to them.
5.Outside services
American Waste Software uses a few outside companies to do parts of its work. Each one gets only what that work needs, and handles it under its own privacy policy:
- DigitalOcean hosts our servers and their backups, in the United States.
- Google Maps shows maps and finds addresses as you type them, in the office, on the driver’s phone and on booking pages.
- Stripe takes card payments, when your hauler connects its own Stripe account.
- Linxup sends your hauler’s truck positions, when your hauler connects its truck GPS.
Later, and only once your hauler turns them on: Postmark to send emails, Twilio to send text messages, QuickBooks Online (Intuit) to copy customers, invoices and payments into your hauler’s accounting, and Anthropic to read weight-ticket photos. Until then nothing is sent to them. We update this list when it changes.
6.Online orders
Your hauler can put a “Book a dumpster” page on its own website, where anyone can order a dumpster online without signing in. When you order there:
- What the page collects: your name, email address and phone number, the job site’s address and its spot on the map, a note for the driver, and any photos of the spot you add. The order also keeps the size, the day, the price you were shown, any discount code, and the rental agreement and payment terms you signed (see Signing your rental agreement online).
- Why: to book and deliver the dumpster, pick it up and invoice it. The order goes to your hauler, which may call you to confirm it. Your photos are shown to the driver who brings the dumpster.
- Card payments: when your hauler takes cards online, Stripe, a card payment company, takes the payment for your hauler (Apple Pay and Google Pay work the same way). Card numbers go straight to Stripe: we never see them. We keep only the card’s brand, its last 4 digits and Stripe’s reference for the payment. Stripe keeps the card on file for your hauler, which can use it for later invoices, such as extra days or weight over what was included. Stripe handles card details under its own privacy policy.
- Stopping spam: to limit how many orders come from the same place, the order keeps a one-way scrambled code made from your device’s network (IP) address. The address itself is kept only with your signed rental agreement (see Signing your rental agreement online).
- Websites that show the booking page: when the booking page is opened from another website or shown inside one, we note that website’s address (only the site, never the page you were on or anything about you), so your hauler can see where its booking page works.
- Booking page visits: your hauler sees how many people opened its booking page each day, and how many of them checked an address for prices. We keep only those two counts, nothing about who. To count each person once a day, the server uses a scrambled code made from the device’s network address, kept only in its memory for that day and then forgotten: it’s never saved.
- The WordPress plugin: a hauler whose website runs on WordPress can show its booking page with our plugin. The plugin only puts the booking page’s script (and any booking buttons the hauler adds) on that website, like the one line any website can add; that script works as described above. The plugin itself sends nothing to us or to anyone else.
- Your order page: after you book, you get a private link to your order. Anyone with that link can see the order (your first name, the day, the address, the price and how it was paid) and your signature, and can download the signed rental agreement, which has your full name, email address, phone number and network address. Share it only with people you trust. The link stops working 90 days after you book.
Your hauler keeps the order with its other records, like an order taken over the phone. We never sell it, and we don’t use it for advertising.
7.Signing your rental agreement online
When you book on your hauler’s booking page, you sign your hauler’s rental agreement: you type your full name, draw your signature with your finger or mouse and tick that you agree. Right above the button that places the order, you also tick that you agree to your hauler’s payment terms for it. When you place the order, a signed record is kept with it:
- What the record keeps: the full name you typed, the signature you drew, the date and time you signed (by our server’s clock), the exact words of the rental agreement and of the payment terms you accepted (with your order’s prices filled in), and your device’s network (IP) address and browser (which web browser and device you used, as your browser reports them). It also keeps a fingerprint: a code worked out from all of it, which shows the record hasn’t changed.
- Why: it’s proof of the agreement, for your hauler and for you: who signed, what they agreed to and when.
- Who sees it: your hauler’s office sees who signed, when, and the signature, with your order. Its staff who handle prices and billing can also open the signed copy as a PDF. You can download the same PDF from your order page (see Online orders). Your network address and browser appear only on that signed copy, never on your hauler’s screens or lists.
- It can’t be changed: once the order is placed, the software doesn’t let anyone change or remove the signed record, and a later change to your hauler’s agreement or payment terms doesn’t change the words you signed. It’s kept as long as your order is kept.
- Never sold: we never sell it, and we don’t use it for advertising.
8.Text messages
When your hauler turns on texting, American Waste Software sends text messages for your hauler.
- What we text: job updates; delivery and pickup notices, such as “your dumpster is on the way”; invoices and payment reminders; sign-in links and password resets; and, for drivers, their routes and changes to them.
- Only with your OK: we text only phone numbers whose owner agreed to get texts, for example by ticking “OK to text this number” in the customer portal or when booking, or by telling your hauler’s office. Your hauler keeps a record of when and how you agreed.
- Not a condition of buying: you don’t have to agree to texts to rent a dumpster or to buy anything.
- How often: message frequency varies with your jobs and invoices.
- Cost: Msg & data rates may apply.
- Stop or get help any time: reply STOP to any text to stop getting them (one last text confirms it). Reply HELP for help. You can also ask your hauler to stop texting you.
- Your number stays private: we never sell phone numbers or text-message consent. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. The sharing described in this policy never includes text-message opt-in data or consent: that is never shared with any third party.
9.How long we keep it
We keep your hauler’s records for as long as your hauler uses American Waste Software, so past jobs, dumpsters and bills can be looked up. Invoices and payments are often kept for years, because tax and accounting rules require it. A rental agreement signed online is kept as long as its order.
When your hauler removes something, it leaves the screens, but the history of each job and invoice is kept so the books stay right. Backup copies are kept for a few weeks and then replaced.
When a hauler stops using American Waste Software, we delete its records or hand them back as agreed with that hauler, except what the law requires us to keep.
10.How we protect it
- Every connection to American Waste Software is encrypted (https).
- Passwords are stored only in a scrambled form, and too many wrong passwords lock a login for a while.
- Each company’s records are walled off from every other company’s in the database itself.
- Every change is recorded with who made it and when.
- Everything is backed up every night.
- People see only what their work needs: drivers don’t see prices, and customers see only their own account.
- Records are kept on servers in the United States.
No system is perfectly safe. Keep your password to yourself, and tell your hauler right away if you think someone else used your login.
12.Your choices
- See your information: customers can see their dumpsters, requests and invoices in the customer portal.
- Get a copy: ask your hauler for a copy of the details it keeps about you.
- Fix or erase it: ask your hauler to correct your details or to erase your personal details. Some records, like invoices and payments, may have to be kept because the law requires it, and a rental agreement signed online stays with its order as it was signed.
- For your hauler: a company that uses American Waste Software can get a copy of all of its records from us at any time, and have them deleted when it stops using American Waste Software (see How long we keep it).
- Texts: reply STOP to any text, or ask your hauler.
- Location: drivers can turn off location for the browser in the phone’s settings. The app still works and saves without it.
Your hauler handles these requests, and we help. If a request reaches us, we pass it on to your hauler.
13.Who can use it: 18 or older
American Waste Software is made for businesses and their customers, not for children. You must be 18 or older to use it, to sign in or to book online. We don’t knowingly collect information about anyone under 18. If you think we have, tell your hauler and it will be deleted.
14.Changes to this policy
We may update this policy as the service changes. The date at the top shows when it last changed. If a change is important, we’ll tell your hauler before it takes effect. The rules for using the service are in our terms of use.
15.Questions
Questions about your information or this policy? Contact your hauler: the company you rent the dumpster from, or the company you work for. They can answer most questions and will reach us when needed.
